Faith Formation Administrative Assistant

Job Summary
Greet visitors, manage receptionist duties, and handle routine inquiries while recording messages and directing parishioners. Produce information by transcribing, formatting, and transmitting text, data, and graphics via scan, fax, or email. Fulfill administrative tasks for the Faith Formation team, including preparing correspondence, filing, scheduling, updating forms, tracking funds, and submitting deposits. Create and maintain permanent records such as rosters, financial documents, and sacramental registrations; update family and student databases, manage registrations, and track sacramental dates. Coordinate meetings, conferences, and liturgical celebrations; prepare reports by collecting data; maintain catechist files; order materials; and ensure supplies are organized. Maintain confidentiality in all areas and attend meetings to take minutes.
Required Qualifications
- High school diploma or equivalent
- Four (4) or more years of experience in an office or administrative environment
- Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
- Appreciation and respect for the Catholic Church and its teachings
- Ability to read, interpret, and compose routine correspondence with a strong command of the English language
- Ability to prioritize work, manage multiple tasks, and meet deadlines with moderate independence
- Ability to respond to inquiries from diocesan entities, parishioners, and members of the business community in a professional manner
- Ability to maintain confidentiality and handle sensitive information with discretion
- Ability to learn and apply office systems, processes, and procedures
- Ability to exert light physical effort in sedentary to light work
- Ability to lift, carry, pushing, and/or pulling objects and materials of light weight (up to 10 pounds)
- Ability to sit and stand for extended periods
- Ability to reach, grasp, and perform tasks requiring manual dexterity
- Ability to see both up close and at a distance
- Ability to use standard office equipment
- Ability to communicate effectively in both verbal and written form
- Ability to work beyond a standard 8-hour day, including occasional evenings and weekends
- Ability to manage multiple tasks and work effectively in a moderately fast-paced environment
