Job Summary

Coordinate all aspects of the Harvard appointment process for the Division of Medical Oncology, including managing first appointments, reappointments, and promotions for faculty at all levels. Administer the Harvard Professional Staff Appointments Process by preparing materials, coordinating faculty search processes, and posting advertisements. Train new administrators on the appointment process and serve as a resource for the academic process while maintaining master files and notifying relevant offices of terminations. Manage the MO CV Writer, ensure newly credentialled physicians receive appropriate IDs, and provide lists and reports as requested by Faculty Affairs. Work closely with Faculty Affairs and HRIS to maintain accurate records and support various leadership levels with time-sensitive information.

Required Qualifications

  • Bachelor's degree
  • 5 years' of relevant administrative experience
  • Excellent written and oral communication skills
  • Must possess strong writing and presentation skills
  • Advanced knowledge of computer applications including Microsoft Office Suite, Google Suite, Zoom, Adobe
  • Demonstrated ability to lead initiatives to completion
  • Exemplary record of successful program management
  • Must be extremely detail-oriented
  • Excellent interpersonal, organizational, analytical, and problem-solving skills
  • Ability to prioritize and manage multiple tasks
  • Time-management, multitasking and the ability to work under pressure in a fast-paced, developing organization are essential
  • Must be pro-active
  • Take initiative
  • Exhibit sound judgment
  • Ability to handle complex, confidential, and sensitive material/information in a professional manner
  • Understanding of and ability to use medical terminology
  • Ability to work well both independently and as a member of a team
  • Ability to adapt to changes in applications, policies, and procedures
  • Must be able to work remotely from a New England state (ME, VT, NH, MA, CT, RI)

Desired Qualifications

  • Experience in a medical, scientific research, or technology-oriented business environment is preferred
