Job Summary

Manage fact witness logistics by coordinating travel, lodging, and court appearances for victims and witnesses in support of the U.S. Attorney's Office, Western District of Washington. Handle inquiries regarding court schedules, defendant custody, and expense reimbursement while maintaining witness traveler profiles and reconciling travel accounts. Prepare documentation for special authorizations, submit weekly activity reports, and generate statistical reports on program activity. Work 40 hours per week from 8:30 am to 5 pm, excluding federal holidays, with occasional travel to the Tacoma Office and Courthouse. Requires US citizenship, a high school diploma (undergraduate preferred), and passing a minimum background investigation.

Required Qualifications

  • Ability to answer inquiries regarding case-related information as maintained in the database
  • Ability to answer inquiries regarding case-related status
  • Ability to obtain additional information from other agencies/organizations
  • Ability to maintain internal status information on the disposition of designated information, files, and assets
  • Ability to assure information is accurate
  • Ability to perform analytical computations necessary to process data
  • Ability to provide administrative information and assistance concerning case or file to other agencies or organizations
  • Ability to work on-site at our client's Washington State office
  • Ability to work with fact witnesses
  • Ability to ensure appearance for court, pre-trial conferences, hearings, and grand jury
  • Ability to receive visitors, field phone calls, questions and other inquiries from fact witnesses
  • Ability to obtain pertinent information for files and documents necessary to arrange witness travel and reimbursements
  • Ability to initiate contact/notify fact witnesses concerning travel arrangements, appearance date/time, and determine any special circumstances or needs of the fact witness
  • Ability to use judgment to determine when attorneys should be notified of special circumstances or needs of fact witnesses
  • Ability to confer with attorneys concerning fact witness appearance and special circumstances regarding witnesses
  • Ability to complete and submit proper documentation for special authorizations
  • Ability to obtain prior approval before proceeding with travel arrangements
  • Ability to ensure all travel documents and appearance date and time have been provided to witness
  • Ability to make necessary arrangements for fact witness travel and lodging according to client's policies and procedures
  • Ability to meet with fact witnesses upon arrival to designated hearing or pre-trial conference
  • Ability to offer and perform courtroom orientation
  • Ability to accompany witness to court
  • Ability to ensure a safe waiting area is available
  • Ability to collect necessary documentation and signatures for fact witness reimbursement documents
  • Ability to prepare and submit documentation for fact witness reimbursement
  • Ability to furnish requested information concerning pending and completed fact witness vouchers
  • Ability to maintain witness traveler profile records
  • Ability to gather required documentation and reconcile travel accounts
  • Ability to obtain information, confer, and coordinate with the Court, Probation, Pretrial, U.S. Marshals Service, investigative agencies, and other counterparts
  • Ability to refer witnesses to other agencies when necessary
  • Ability to complete variable aspects of recurring documents in conformance with the rules governing their style and format
  • Ability to compose original letters that do not require legal interpretations but require a good working knowledge of legal procedures and specialized terminology relevant to fact witness laws and regulations
  • Ability to establish and maintain a variety of fact witness files, documents and databases
  • Ability to assemble documents and other information for fact witness file material and retention in accordance with established procedures and regulations
  • Ability to establish and maintain calendar and/or database of active and pending fact witness appearances
  • Ability to track hearings, trial dates, grand jury and scheduling conferences
  • Ability to generate statistical and quantitative reports of program activity
  • Ability to perform other administrative and logistical fact witness management related duties as required/assigned
