Facility Administrative Assistant

Job Summary

Facility Administrative Assistant at Worldwide Flight Services. Responsibilities include reading and routing incoming mail, preparing outgoing mail and correspondence (email and faxes), preparing cash deposits where applicable, composing routine correspondence, greeting visitors, handling telephone calls, making copies, and ordering supplies. Provides customer billing support and weekly stats support; supports Payroll with Time & Attendance, enters new employees into time clock, and assists with payroll processing. Works with Corporate HR to ensure timely entry of new hire and termination data into Payroll, HR, and Time & Attendance systems. Assists with coordinating benefit enrollment periods and distribution of communications; monitors uniform distribution and inventories. Participates in special projects, and demonstrates strong MS Office/Excel skills, attention to detail, and the ability to handle a fast-paced eight-hour shift. Requires a Bachelor's degree (preferred), 45 WPM typing, excellent communication, strong computer skills, and the ability to work rotating shifts including weekends and holidays.

Required Qualifications

  • Bachelor's degree in related field preferred
  • Minimum typing speed of 45 WPM
  • Excellent verbal and written communication skills
  • Strong computer skills; proficient in MS Office applications; Strong knowledge in Excel
  • Ability to work rotating shifts including weekends (i.e., Friday, Saturday and Sunday), holidays and days off
  • Prior office experience that reflects a high level of responsibility, urgency and the ability to quickly grasp and implement new concepts
  • Ability to concentrate on detail
  • Ability to read, write, fluently speak and understand the English language
  • Ability to prioritize and meet time sensitive deadlines
  • Ability to work both independently and in a collaborative environment
