Job Summary
Manage and update work orders in the Computerized Maintenance Management System (CMMS), receiving, entering, assigning, tracking, and closing service, preventive, and corrective maintenance requests. Monitor work order status to coordinate with maintenance staff and supervisors for timely completion, while maintaining accurate records of labor, materials, and equipment. Generate reports, logs, and schedules as required, support preventive maintenance scheduling, and track open orders, overdue work, and pending parts. Communicate with internal staff, subcontractors, vendors, and Government representatives to support administrative coordination and meeting preparation. Comply with all environmental, safety, and security requirements.
Required Qualifications
- High school diploma or equivalent.
- Minimum of two (2) years of experience in administrative support, work control, project coordination, facilities maintenance support, or a related role.
- Experience using a CMMS, work order system, database, or similar tracking system.
- Proficiency with Microsoft Office, including Word, Excel, Outlook, and Teams.
- Working knowledge of work order management, administrative tracking, and facilities maintenance support functions.
- Ability to accurately enter, update, and maintain data in a CMMS or similar system.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities, deadlines, and administrative tasks.
- Ability to generate reports, maintain logs, and track action items.
- Strong written and verbal communication skills.
- Ability to work professionally with maintenance personnel, management, subcontractors, vendors, and Government representatives.
- Ability to work independently and as part of a multidisciplinary facilities support team.
- Must possess and maintain an active Top Secret/Sensitive Compartmented Information (TS/SCI) security clearance.
- Ability to sit for extended periods while working at a computer.
- Ability to communicate by phone, email, video conference, and in-person meetings.
- Ability to occasionally walk through facility areas to support work order coordination and documentation.
- Ability to occasionally lift and carry office materials, files, or equipment consistent with administrative duties.
Desired Qualifications
- Experience supporting commercial, industrial, institutional, or Government facilities preferred.
