Facilities Coordinator, 40 hrs per week

Job Summary

Oversee maintenance schedules and repairs for 15 library facilities and 5 fleet vehicles, including minor installations and tracking vehicle conditions. Coordinate service providers, contractors, and vendors across all locations while reviewing proposals and invoices for accuracy. Monitor and respond to facility requests through the internal ticketing system, conducting regular branch visits to assess conditions and quality standards. Assist the Facilities Manager with facility improvement and capital projects from planning through completion, tracking timelines, budgets, and contractor performance. Ensure insurance, safety, and regulatory requirements are met by maintaining documentation, compliance records, and safety programs. Act as a primary liaison between staff, contractors, and external providers to support efficient facility operations.

Required Qualifications

  • Associates degree in Facilities Management, Business Administration, Construction Management, Public Administration, Project Management, or a related field
  • Three to five years of progressively responsible experience in one or more of the following areas: Facilities coordination, Contract administration, Project coordination, Fleet management, Building operations, Safety and risk management, Public sector operations
  • Criminal background check
  • Valid driver's license
  • Required mandatory insurance when operating a privately owned vehicle for business purposes
  • Ability to travel to other locations to perform work, and/or attend work-related meetings, workshops or conferences
  • Ability to safely lift, carry, push, pull, or move materials, equipment, furnishings, supplies, and tools weighing up to 25 pounds on a regular basis and greater weights occasionally with assistance
  • Ability to make independent decisions, exercise sound judgment, and effectively manage changing priorities while supporting facilities operations throughout the district
