Job Summary
Facilities Administrative Assistant at Dunwoody Village (CCRC) in Newtown Square, PA. Supports Maintenance and Facilities by handling and distributing work order requests, addressing resident concerns, coding invoices, data entry, filing, and recordkeeping. Assists with implementing and maintaining the WorxHub work order system, prepares and reconciles monthly utility and vendor/contractor bills, ensures compliance with policies and standards, and participates in process improvement and internal control procedures. Maintains compliance with applicable regulations and fosters excellent customer service with residents, vendors, employees, and visitors. Reports to the Maintenance Manager and contributes to safety initiatives through the monthly Safety Committee.
Required Qualifications
- Minimum of 2 years’ experience as an Administrative Assistant.
- Experience working in a CCRC or similar organization strongly preferred.
- Excellent customer service experience when working with residents, staff, and vendors.
- Strong attention to detail, confidentiality, and accuracy.
- Ability to prioritize tasks and meet deadlines.
