Job Summary
Act as the primary contact for all guest trip parties, including guests, personal assistants, and travel agents, by responding promptly to WhatsApp messages, emails, and phone calls. Plan and draft detailed guest itineraries, ensuring the lodge is set up according to preferences prior to arrival and remaining present during stays to handle requests, itinerary changes, and down-day planning. Collaborate with the guide team, lodge manager, and housekeepers to provide high-quality experiences, occasionally chaperoning guests to off-site events while managing guest details in the Eleven App and Opera. Complete post-trip follow-up tasks such as preparing invoices, compiling trip reports, and handling luggage shipping, alongside assisting the sales team with logistical details. Maintain organized operational folders, track guest preferences, and communicate tips to HR once paid. Work a flexible seasonal schedule from November to March, managing back-of-house inventory, property maintenance, and daily checklists in PLM.
Required Qualifications
- Valid driver's license
- 1+ years experience professional hospitality experience
- Proficiency with Microsoft Office Suite – specifically Microsoft Excel
- Sophisticated email and verbal communication skills
- Must be able to lift 50+ pounds
- Must be able to work a flexible schedule with long days and unpredictable hours
- Must be able to sit at a desk and type at a computer for extensive periods of time
