Job Summary
Executive Specialist to the Mayor provides complex administrative and direct support to the Mayor and/or City Council in an in-office role. Responsibilities include executive-level administrative support, scheduling appointments and meetings (virtual and in person), maintaining multiple calendars, composing letters and reports, conducting research, preparing documents (letters, memoranda), handling citizen inquiries, coordinating meeting logistics and travel arrangements, supporting city council committees, maintaining directories and files, purchasing card administration, and delivering high-quality communication with elected officials and staff. Requires advanced computer skills (MS Office suite, Teams) and the ability to learn systems such as eSCRIBE, Workday, and Service Now. Licenses include Colorado Driver's License and Notary within 60 days. Strong interpersonal, analytical, verbal and written communication skills are essential; Spanish proficiency is preferred. This is an in-office position with limited remote work potential. The salary range is $32.87-$41.09 per hour, commensurate with experience.
Required Qualifications
- Associate's degree preferred in public administration, office administration, business or related field
- Four (4) years progressively responsible executive level administrative experience in public service (municipal or county government strongly preferred)
- Experience in complex report writing and making presentations including complex spreadsheet and database development
- Knowledge of office administration practices and procedures; strong grammar and correspondence skills
- Proficiency with Microsoft Office Suite; ability to learn eSCRIBE, Workday, ServiceNow
- Ability to establish and maintain effective working relationships with elected officials, city management, employees and citizens
- Ability to multi-task, be detail oriented, and work independently or in teams
- Notary within 60 days of employment; Colorado Driver's License with good driving history
- Bilingual Spanish proficiency preferred
- Working knowledge of data analysis and reporting tools; ability to prepare and deliver presentations
