Job Summary
Provide high-level administrative and governance support to the CEO and senior leadership team, managing complex logistics for Board activities, stakeholder meetings, and executive sessions. Prepare, edit, and route correspondence, presentations, and reports for leadership and regulator-facing settings while triaging issues and protecting confidential information. Coordinate Board of Directors meetings, including agenda development, packet creation, minutes, and post-meeting follow-up, and maintain organized records for contracts, policies, and vendor documents. Serve as the primary point of contact for building-related matters, facility projects, and office operations, overseeing purchasing and inventory to ensure efficient day-to-day functions.
Required Qualifications
- Located on site and available during all business hours
- Minimum 5-7 years of progressive administrative support experience, including direct support of senior executives or business leadership
- Exceptional organizational skills and the ability to manage multiple priorities, deadlines, and recurring deliverables with minimal supervision
- Strong written communication, editing, and document production skills, with the ability to prepare polished executive and Board-facing materials
- Advanced proficiency in Microsoft Office, including Word, Excel, PowerPoint, Outlook, and Teams
- Strong judgment, professionalism, and discretion in handling confidential and sensitive information
- Ability to coordinate effectively across executive leadership, directors, business lines, and external stakeholders
- Working knowledge of corporate administration, meeting governance, document retention, and office workflow management
Desired Qualifications
- Bachelor's degree in Business Administration, Finance, Communications, Management, or a related field preferred
- Equivalent combination of education and relevant executive administrative experience may be considered
- Experience in banking, financial services, or another highly regulated industry strongly preferred
- Experience supporting Board, committee, governance, finance, operations, or executive office processes preferred
- Banking knowledge, including familiarity with regulatory, operational, and Board reporting environments, is preferred
