Job Summary

Manage the CEO's complex calendar, coordinate travel and expense reporting, and prepare briefing materials, agendas, and executive dashboards. Screen communications, anticipate operational needs, and resolve scheduling conflicts while maintaining strict confidentiality for Board records and sensitive financial information. Support the execution of strategic priorities by tracking deliverables, drafting organizational announcements, and managing departmental budgets and purchase requests. Plan executive meetings, Board events, and community engagement activities, ensuring all governance materials are accurate and distributed within established timelines. Serve as the primary liaison between the CEO, Board of Directors, regulators, and key stakeholders to facilitate communication and follow-through on initiatives.

Required Qualifications

  • Completed high school diploma, GED or equivalent combination of formal training and experience
  • Minimum of 2 – 3 years of progressively responsible administrative experience
  • Expert level knowledge of Microsoft Office Suite (Excel and Word) and search engines
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook)
  • Experience with board management software
  • Strong document preparation and executive presentation skills
  • Excellent calendar and project management capabilities
  • Ability to take accurate, concise meeting minutes and track follow-up actions
  • Exceptional written and verbal communication skills
  • High attention to detail and organizational skills
  • Ability to prioritize tasks, manage competing deadlines, and work independently
  • Demonstrated ability to exercise independent judgment, maintain discretion, and handle highly confidential information
  • Strong interpersonal skills with the ability to influence, collaborate, and build relationships across all organizational levels in a professionalism and constructive manner
  • Familiarity with electronic records management and document retention systems
  • Limited lifting up to 10 lbs

Desired Qualifications

  • Some college preferred
  • Experience supporting Boards of Directors and executive governance activities is preferred
