Job Summary
Manage executive workflows and coordinate priorities for the city administrator and mayor, including maintaining calendars, drafting correspondence, and routing confidential inquiries. Serve as the primary contact for internal and external sources while tracking required actions and ensuring follow-through on commitments. Plan and coordinate high-profile meetings, conferences, and special events, acting as a liaison to community groups and dignitaries. Assist the city clerk with public record requests, staff meetings, and special projects, while managing travel arrangements and preparing vouchers. Represent the city at public events and compile reports for administration and outside agencies. Maintain strict confidentiality of sensitive political information and exercise sound judgment in handling personnel matters and resident inquiries. Work independently to anticipate needs and resolve issues, supporting the city's strategic goals and maintaining relationships with elected officials and agencies.
Required Qualifications
- Associate's degree in business administration, public administration, communications, or a related field
- Three (3) or more years of professional, relevant experience performing para-professional administrative tasks and clerical work
- Experience supporting executive level offices, performing progressively responsible tasks including executive scheduling, written communication and office administration
- Proficient in Microsoft Office Suite
- A valid Washington State driver's license (or ability to obtain one within 30 days of hire)
- A history of and ability to maintain safe and responsible driving that meets the city's motor vehicle record minimum driving requirements
- Ability to pass position relevant pre-employment screening
