Job Summary
Manage executive calendars, coordinate travel, and prepare meeting agendas while tracking follow-ups. Route procurement requests to approvers, support accounts payable and receivable, and assist with expense reconciliation. Organize company files, draft SOPs, and manage onboarding logistics for new hires. Perform data entry in QuickBooks Online and triage leadership communications. Identify recurring bottlenecks to redesign workflows and leverage AI tools to automate scheduling, document creation, and reporting. Travel to active construction sites for site walks and quality inspections.
Required Qualifications
- Extensive experience, a proven work ethic, and a strong commitment to continuous learning—attributes that deliver results beyond traditional education
- A bachelor's degree
- 2+ years of experience in an administrative, executive assistant, operations support role, or equivalent experience demonstrating strong organizational and execution skills
- A demonstrated interest in process and efficiency: someone who has redesigned a workflow, built a template, or automated a task before, and can point to a specific example
- Fluency with AI tools such as Claude or ChatGPT, used to automate work
- Strong proficiency with Microsoft 365 (Outlook, Word, Excel, Teams, SharePoint) or equivalent tools
- Excellent written communication and ability to draft clean, professional documents
- Proven ability to juggle multiple workstreams and shifting priorities without dropping details
- Strong discretion and judgment when handling confidential company and personnel information
- Ability to work on active construction sites and perform standard on-site activities including site walks, site observations, and quality inspections
- Ability to stand, walk, and move around job sites for extended periods
- Ability to sit or stand at a desk with extended periods of screen time
- Ability to work outdoors in varying weather conditions, including heat and cold, within reason
- Ability to lift, carry, or move materials weighing up to approximately 50 pounds, with or without reasonable accommodation
- Must be available for weekend shifts
- Must be able to travel to active job sites in Colorado
Desired Qualifications
- Experience building lightweight automations or AI-assisted workflows (e.g., Claude, Zapier, Make, scripts, or similar)
- Experience with QuickBooks Online or similar accounting/bookkeeping software
- Experience at an early-stage or startup company, comfortable with ambiguity and evolving processes
- Experience building or maintaining SOPs, process documentation, or internal systems
- Familiarity with Buildertrend or similar project management software
