Job Summary
Executive Assistant to the CEO and senior executives at MercyOne Dubuque; performs varied secretarial support, office management, project management, and administrative duties for the CEO, VP for Professional and Support Services, VP for Finance and CFO, and VP for Planning and Business Development. Develops and applies standard office policies/procedures; handles highly confidential correspondence; drafts CEO communications; manages day-to-day administrative activities; coordinates meetings, distributes materials, and records meeting minutes; serves as recording secretary to the Board of Trustees, including preparation of agendas and supporting documents; coordinates travel/meeting logistics and ensures governance/editing of corporate documents. Requires discretion, independence, and professional demeanor; strong written/spoken communication, time management, and organizational skills; healthcare setting experience preferred; Notary Public certification preferred.
Required Qualifications
- Bachelor’s degree in business or related field preferred; combination of formal education and related experience in lieu of the degree.
- A minimum of five to seven years’ experience in an administrative secretarial/assistant role required with two years at executive level.
- Knowledge/skills in English composition required.
- Current Notary Public certification preferred.
- Proficiency with Microsoft Word, Excel, PowerPoint, and electronic mail and calendar systems – preferably GroupWise.
