Job Summary
Draft complex communications, manage executive calendars, and serve as a professional gateway for stakeholders while screening and routing communications. Coordinate multi-segment travel, process reimbursements, and prepare reports, slide decks, and proposals for executive readiness. Maintain secure institutional records, organize academic governance documents, and capture meeting minutes with strict confidentiality. Execute procurement procedures, audit expenditures, and collaborate across campuses to streamline operations and support high-level events. Requires in-person attendance at the University of Arizona campus with flexibility for evening or weekend functions.
Required Qualifications
- Bachelor's degree
- Five (5) or more years of progressive executive administrative experience
- Computer proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- proficiency in institutional enterprise software (budgeting, procurement, and scheduling tools)
- ability to work in a constant state of awareness
- regular, predictable, in-person attendance
- occasional ability to stand, walk, use hands, and reach with hands and arms
- frequent ability to sit, talk and hear
- occasional ability to lift and move up to 30 pounds
