Job Summary
Manage the CSO and COO's calendars, meetings, travel, and follow-up while preparing agendas, briefing materials, and talking points for internal and external engagements. Coordinate cross-functional workflows across political/program, communications, HR, finance, and compliance teams to track deliverables, deadlines, and decisions. Draft internal communications, meeting notes, and written materials; surface risks, identify gaps, and ensure sensitive information remains confidential. Use project management tools and AI to streamline processes, maintain organized documentation, and recommend system improvements that strengthen executive effectiveness. Support leadership in maintaining clarity and consistency across organizational priorities.
Required Qualifications
- 7+ years of strong experience providing executive-level administrative, operations, or project coordination support
- Excellent writing, editing, communication, and follow-up skills
- Strong calendar management, scheduling, meeting preparation, and organizational skills
- Ability to manage multiple priorities, deadlines, and stakeholders with accuracy and care
- High emotional intelligence, discretion, and sound judgment
- Comfort working with confidential and sensitive information
- Strong attention to detail and ability to anticipate needs
- Comfort using technology, productivity tools, and AI-supported workflows
Desired Qualifications
- Experience in nonprofit, advocacy, political, philanthropic, movement, or mission-driven organizations is preferred
