Job Summary
Manage the CPO's complex calendar by scheduling meetings, resolving conflicts, and coordinating logistics. Prepare professional correspondence, reports, presentations, and memoranda while screening and prioritizing communications. Coordinate internal and external meetings, site visits, and executive events, including agendas, materials, catering, and visitor accommodations. Track action items, deadlines, and follow-up activities to ensure timely completion. Reconcile corporate credit card transactions, manage petty cash, and oversee departmental purchasing records. Maintain organized electronic and physical files, oversee office equipment maintenance, and coordinate mail and courier services. Exercise strict confidentiality when handling sensitive personnel, operational, financial, and executive information. Work onsite five days per week in a team environment supporting the Developmental Disabilities Services division.
Required Qualifications
- Minimum 5 years of administrative support, office management, or executive support experience
- Experience supporting a senior executive or complex administrative department
- Strong calendar management, organization, multitasking, and prioritization skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and SharePoint
- Ability to prepare, format, organize, and track documents, reports, correspondence, presentations, and meeting materials
- High level of confidentiality, discretion, professionalism, and judgment
- Strong attention to detail and follow-through
- Ability to work independently while maintaining collaborative relationships with leadership, program staff, agency departments, and external partners
- Ability to manage competing priorities in a high-volume administrative environment
- Flexibility, reliability, and strong work ethic
- Ability to work onsite 5 days per week
Desired Qualifications
- Minimum Education: High school diploma or GED
- Preferred: Bachelor's degree from four-year college or equivalent
