Job Summary
Executive Assistant to the Chief Legal Officer and Chief of Staff providing discrete, highly organized support to two senior executives. Responsibilities include governance and Board logistics, calendar and travel management, processing complex expense reports, handling attorney-client privileged information, preparing Board materials, and coordinating cross-functional activities across the CEO and CLO offices with a focus on privacy, compliance, and executive efficiency.
Required Qualifications
- Experience: 10+ years as an Executive Assistant supporting C-suite executives in large, global organizations; direct experience supporting a General Counsel or Chief Legal Officer strongly preferred
- Education: A high school diploma or GED certificate
- Discretion & Integrity: Deep understanding of attorney-client privilege and ability to handle sensitive information with absolute discretion
- Board logistics: Prior experience supporting Boards of Directors and senior executives, handling corporate governance logistics
- Technical proficiency: Mastery of Google Workspace; experience with board portal software (Diligent) and travel/expense platforms (Concur)
- Prioritization & Agility: Ability to manage competing demands from two high-level executives, adapt to sudden schedule changes, and problem-solve independently
- Communication: Strong written and verbal communication skills with Board members, outside counsel, and global executives
- Corporate Governance Administration: Familiarity with preparation, secure distribution, and archiving of Board materials and minutes; experience with board portal software (e.g., Diligent)
- Executive Office Operations: Mastery of complex calendar management, gatekeeping, and cross-functional coordination to support two executives
- Complex Logistics & Event Planning: Ability to orchestrate multi-leg, multi-time-zone international travel (commercial and private aviation) and execute high-stakes events such as global Board meetings
- Secure Information & Document Management: Understanding of handling highly classified materials and attorney-client privileged documents
- Advanced Technology & Systems Acumen: Proficiency in corporate productivity suites and enterprise expense management (Concur)
- Anticipatory Problem-Solving: Proactively identifies potential logistical hurdles and provides proactive solutions
- Diplomacy & Executive Presence: Interacting with tact and confidence with Board members, outside counsel, and internal leadership
- Prioritization & Agility: Ability to pivot between competing high-priority demands without sacrificing attention to detail
