Executive Assistant to the Chief Director of Special Education and Student Services

Job Summary

Provide high-level confidential, administrative, organizational, and clerical support to the Chief Director and the Office of Special Education and Student Services. Manage departmental compliance with District policies and federal and Pennsylvania requirements, including IDEA, FERPA, Section 504, and Pennsylvania Code chapters. Maintain complex electronic and physical records, create trackers, databases, and reports, and communicate effectively with families, administrators, teachers, and community partners. Work independently while adhering to established procedures and maintaining strict discretion regarding student eligibility, evaluations, and educational placements.

Required Qualifications

  • High school diploma or equivalent
  • Regular and predictable attendance

Desired Qualifications

  • Associate degree in business administration, office administration, education, human resources, public administration, or a related field
  • Bachelor's degree
  • Minimum of three (3) years of progressively responsible administrative, executive assistant, secretarial, or office support experience
  • Experience supporting a senior-level administrator or department director
  • Experience working in a public school District, intermediate unit, educational organization, governmental agency, or similar environment
  • Experience working with special education, student services, confidential student records, or compliance-related documentation
  • Excellent organizational and time-management skills
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities and deadlines simultaneously
  • High degree of professionalism, discretion, judgment, and confidentiality
  • Strong attention to detail and accuracy
  • Ability to work independently while following established procedures
  • Ability to maintain complex electronic and physical records
  • Proficiency with Microsoft Office and/or Google Workspace
  • Ability to learn District student information, special education, records-management, HR, financial, and workflow systems
  • Ability to create and maintain spreadsheets, trackers, databases, calendars, reports, and presentations
  • Ability to communicate effectively with families, administrators, teachers, support staff, attorneys, advocates, agencies, and community partners
  • General knowledge of IDEA, FERPA, Section 504, Chapter 14, Chapter 15, and PDE special education requirements, or the ability to acquire such knowledge through training
  • Ability to understand the distinction between administrative support responsibilities and decisions reserved for appropriately qualified professional and administrative personnel
  • Ability to perform standard office and computer-related functions for extended periods
  • Ability to communicate effectively in person, electronically, virtually, and by telephone
  • Ability to occasionally lift and transport office materials consistent with District requirements
