Executive Assistant to the CEO/President

Job Summary

Manage the CEO's and President's calendars, coordinate board meeting logistics, and facilitate internal and external communications with discretion. Proactively solve operational roadblocks, execute special projects, and prepare meeting materials including presentations and documents. Serve as a liaison between leadership, departments, and stakeholders while tracking project milestones and generating reports. Handle confidential information and sensitive matters expeditiously, often under deadline pressure. Work independently across multiple time zones with an in-office presence of four days per week.

Required Qualifications

  • Bachelor's degree
  • 5+ years' experience as an executive assistant supporting senior level leaders
  • Experience utilizing AI tools and technology as a force multiplier to increase efficiency and effectiveness
  • Experience coordinating complex international travel logistics
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and Power Point) and Adobe Acrobat
  • Ability to work independently and provide prompt support to multiple leaders across multiple time zones, with an in-office presence of four days per week
  • High degree of integrity
  • Strong time management and organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and clients
  • Advanced written and verbal communication skills
  • Emotional intelligence and ability to work through conflict
  • Highly resourceful team-player, with the ability to also be effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment
  • Forward-looking thinker, who actively seeks opportunities and proposes solutions
  • In-office presence of four days per week
