Job Summary
Anticipate the business and personal needs of the executive by planning and accomplishing tasks with discretion and judgment. Act as the primary gatekeeper to ensure the efficient day-to-day running of the office, managing heavy calendar responsibilities including booking conference rooms, sending invites, and tracking appointment requests by priority. Serve as the administrative liaison for internal teams while handling incoming and outgoing calls, managing the phone sheet, and coordinating business-related travel. Fulfill ad hoc requests such as note-taking, research, and document editing, and oversee Ramp and expense reports. Uphold a strict level of confidentiality and professional rapport with all staff and external parties. This role focuses on the business and marketing distribution side of film within the fast-paced entertainment industry.
Required Qualifications
- 1-3 years of relevant entertainment experience
- 1-2 years of agency, management, production company, or other relevant desk experience
- Experience managing heavy phones and scheduling
- Must be detail oriented, with an ability to multi-task
- Must be able to adapt in a fast-paced, high-pressure work environment
- Uphold a strict level of confidentiality
- Develop and sustain a level of professionalism among staff and clientele
