Executive Assistant to C-Suite

Job Summary

Manage complex calendar management, meeting coordination, and prioritization of competing requests for the C-Suite Executive and leadership team. Coordinate internal and external meetings, including Board and committee sessions, while handling domestic and international travel logistics. Prepare agendas, presentations, reports, and executive-level communications, and process expense reports, invoices, and purchase requests. Maintain organized records, track key deliverables and deadlines, and coordinate department meetings, team events, and leadership offsites. Serve as the primary point of contact for internal and external stakeholders, providing professional support while managing highly confidential business and personnel information with discretion. Offer backup support to other Executive Assistants and assist with special projects as assigned.

Required Qualifications

  • High school diploma or equivalent
  • 5+ years of executive administrative experience supporting senior executives
  • Demonstrated experience managing multiple executive calendars, shifting priorities, and competing deadlines in a dynamic environment
  • Exceptional organizational skills with strong attention to detail and accuracy
  • Proven ability to exercise sound judgment and maintain strict confidentiality
  • Excellent written, verbal, and interpersonal communication skills with the ability to interact effectively at all levels of the organization
  • Strong problem-solving skills with a proactive, solution-oriented approach
  • Ability to manage multiple priorities independently while delivering high-quality work under tight deadlines
  • Collaborative team player with a customer-service mindset and the flexibility to adapt to changing business needs
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
  • Ability to quickly learn new technologies and systems

Desired Qualifications

  • Associate's or Bachelor's degree
  • Experience supporting Board of Directors activities
