Executive Assistant

Job Summary

Manage the Executive Director's calendar, prioritize action items, and organize email correspondence to ensure efficient communication. Prepare Governing Board presentations, reports, and quarterly updates while coordinating meetings and tracking follow-up actions. Maintain governance records, upload meeting packets, and file financial disclosures in compliance with Missouri public charter school requirements. Support grant administration by tracking staff time, compiling reimbursement requests, and monitoring funding timelines. Collect monthly financial documentation, coordinate with financial partners, and prepare records for annual audits. Maintain operational file systems and compile organizational reports through required platforms.

Required Qualifications

  • High School Diploma or equivalent
  • Minimum of three (3) years of progressively responsible administrative support experience

Desired Qualifications

  • Associate's degree or Bachelor's degree in Business Administration, Public Administration, Education, Communications, or a related field
  • Experience in a public charter school, school district, nonprofit organization, government agency, or similarly regulated environment
  • Experience supporting executive leadership, governing boards, grants management, financial documentation, compliance activities, and organizational operations
  • Advanced proficiency in Microsoft Office Suite, Google Workspace, and presentation software
  • Experience with ReportWell, Board management platforms, document management systems, and financial recordkeeping tools
  • Strong data management, reporting, and organizational skills
  • Exceptional organizational skills and attention to detail
  • Strong written, verbal, and interpersonal communication abilities
  • Ability to maintain strict confidentiality and exercise sound judgment
  • Demonstrated ability to manage multiple priorities, meet deadlines, and work independently
  • Commitment to professionalism, accountability, transparency, and supporting the mission of the school
  • Travel 2-3 times/year
