Job Summary

Executive Assistant to provide high-level administrative and operational support to two senior executives (Senior Vice President, Equipment Services and Senior Vice President, Strategic Markets). Responsibilities include managing complex calendars, coordinating domestic and international travel, preparing reports and presentations, organizing meetings with agendas and minutes, drafting professional correspondence, maintaining confidential records, processing and reconciling expense reports, liaising with internal/external stakeholders, and supporting strategic projects. Requires 3+ years in equivalent roles, experience supporting C-level or VP-level leaders, exceptional discretion, strong communication, and the ability to collaborate across cross-functional teams. Remote options available in Colombia with a hybrid arrangement in Medellín; proficiency in English/Spanish business communications and a proactive approach to anticipate executive needs.

Required Qualifications

  • 3+ years of experience in Executive Assistant, Senior Administrative Assistant, or similar executive support roles
  • Experience supporting senior executives (VP, SVP, C-level, or equivalent leadership)
  • High level of professionalism, discretion, organization, and adaptability
  • Strong calendar management and scheduling coordination
  • Experience coordinating domestic and international travel arrangements
  • Ability to prepare, review, and distribute reports, presentations, and business documentation
  • Strong meeting coordination skills, including agenda preparation, minute-taking, action item tracking, and follow-up
  • Excellent written and verbal communication skills
  • Ability to draft professional correspondence, emails, memos, and other communications
  • Strong organizational skills with the ability to maintain accurate and confidential records and documentation
  • Experience managing and reconciling expense reports
  • Ability to work effectively with executives, administrative staff, cross-functional teams, and external stakeholders
  • Ability to support special projects and strategic initiatives
  • Proactive problem-solving skills with the ability to anticipate executive needs and resolve scheduling or administrative challenges
  • Ability to handle sensitive and confidential information with the highest level of discretion
  • Uphold the highest level of confidentiality and discretion when handling sensitive and confidential information
