Job Summary
Executive Assistant to provide comprehensive support to a senior executive and leadership team. Responsibilities include managing complex calendars, coordinating travel (domestic and international), preparing expense reports, assisting with presentations/reports/spreadsheets, coordinating meetings (room bookings, catering, minutes), and serving as a professional liaison with internal/external stakeholders. Requires discretion, superb organizational skills, ability to prioritize in a fast-paced environment, and experience supporting senior leaders. Proficiency with Microsoft Office, Google Workspace, Adobe Acrobat, and tech/troubleshooting for videoconferencing/AV systems. Ability to handle confidential information and adapt to evolving business needs.
Required Qualifications
- Minimum 2 years of experience in an Executive Assistant or similar role
- Exceptional organizational, prioritization, and time management skills
- Strong written and verbal communication skills with professional interaction at all levels
- Ability to thrive in a fast-paced, evolving environment while managing multiple priorities
- Strong attention to detail and proactive, solutions-oriented mindset
- Ability to build and maintain effective working relationships with stakeholders
- Experience supporting senior leaders or executives is an asset
- Advanced proficiency with Microsoft Office Suite, Google Workspace, and Adobe Acrobat
- Comfortable learning new technologies, software platforms, and AI-powered tools
- Experience troubleshooting common technology, videoconferencing, and audio-visual systems issues
- Demonstrated ability to maintain confidentiality and exercise sound judgment
- Flexible, adaptable, and willing to provide additional support as business needs evolve
