Job Summary
Executive Assistant & Special Events Coordinator providing high-level administrative support to the Executive Team while leading planning and execution of key organizational events and convenings. 70/30 focus: 70% Executive & Operations Administrative Support, 30% Special Events & Convenings. Responsibilities include calendar management, travel logistics, meeting coordination, preparing agendas and briefing materials, internal/external communications, board coordination, and maintaining filing systems. Lead planning and execution for events such as staff retreats, board meetings, community convenings, trainings, service days, and special initiatives; develop event timelines, run-of-show documents, budgets, staffing plans; manage venue selection, catering, A/V, transportation, accessibility, and on-site support; vendor and partner management, contract coordination, and keeping vendor deliverables on track. Collaboration across teams for registration, materials, and staffing; lead post-event debriefs. Independent decision-making within scope with executive oversight. Preferred: Outlook, Microsoft Teams, Zoom, and Asana. Compensation: $50,000 - $60,000 per year.
Required Qualifications
- Experience providing executive-level administrative support
- Experience planning and managing events or complex projects
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Proficiency with calendars, document management systems, spreadsheets, project/task management tools, and virtual meeting platforms
- Ability to manage confidential information with discretion
