Job Summary
Manage complex calendars, schedule meetings, and coordinate appointments for senior leadership. Prepare internal and external correspondence, organize travel itineraries and logistics, and process expense reports. Support C-suite executives with general continuity, follow-ups, and agenda development. Handle board and committee communications, including scheduling quarterly meetings, preparing presentation materials, and providing live meeting support. Record, draft, and finalize accurate meeting minutes while maintaining organized document storage systems. Track board membership and governance documentation. This part-time role operates 9am-2pm EST with flexibility for quarterly Board Meetings after 2pm.
Required Qualifications
- Experience supporting senior executives in a corporate environment
- Advanced proficiency in Microsoft Office Suite and enterprise productivity tools
- Exceptional written and verbal communication skills
- Strong organizational skills with the ability to manage multiple priorities under tight deadlines
- Demonstrated ability to exercise sound judgment and maintain confidentiality
- Professional presence and strong interpersonal skills
- High level of discretion, integrity, and reliability
- Ability to work independently with minimal supervision
- Strong analytical and problem-solving capabilities
- Adaptability in a dynamic, fast-paced corporate environment
Desired Qualifications
- Bachelor's degree in Business Administration or related field preferred (or equivalent experience)
- Experience interacting with high dollar donors is plus
- Flexibility for quarterly Board Meetings after 2pm preferred
