Job Summary
Own the executive calendar by managing complex, shifting schedules across leadership, triaging priorities, and defending focus time. Run point on communications by managing inboxes, drafting correspondence, and ensuring timely responses on all threads. Orchestrate domestic and international travel, building detailed itineraries and handling last-minute changes. Make meetings count by preparing agendas, capturing notes, and chasing follow-ups. Run office and team operations in New York, coordinating meals, managing vendors, and maintaining the physical space. Support hiring and onboarding by coordinating interviews and helping new hires integrate. Own the long tail of tasks including expense reports, subscriptions, and personal logistics. This role requires 3+ years of executive support experience and fluency with modern tools.
Required Qualifications
- 3+ years supporting senior executives
- Ideally a founder or C-suite leader at a high-growth startup, high-performing finance/consulting firm, or similar fast-paced environment
- Ruthlessly organized
- Exceptional written and verbal communicator
- Calm under pressure
- Trustworthy with the most sensitive information
- Fluent with modern tools: calendar, email, Slack, and AI tools like Claude and ChatGPT
- Bias toward action and total ownership
- Ambitious builder who wants to help build a generational company, not just hold a support role
- Full-time, on-site role in New York
