Job Summary

Manage the Chief Advancement Officer's calendar, appointments, meetings, and travel arrangements while preparing agendas, briefing materials, and correspondence for donors, trustees, and institutional partners. Coordinate departmental meetings, track action items, and maintain confidential files, donor records, and contracts. Draft and edit donor communications, process expense reports, and oversee day-to-day administrative operations including office supplies. Provide support across fundraising, alumni relations, and special projects by assisting with donor stewardship, coordinating donor visits, and tracking campaign reports. Serve as the primary point of contact for the CAO and liaison between the Advancement team, trustees, and external stakeholders.

Required Qualifications

  • Commitment to Girard College's mission and DEIB
  • Minimum five years supporting senior executives
  • Excellent organization, communication, discretion, and project management skills
  • Proficiency with Microsoft Office, Google Workspace, and donor CRM systems

Desired Qualifications

  • Bachelor's degree preferred or equivalent experience
  • Advancement experience preferred
