Job Summary
Manage complex executive calendars, coordinate travel and meetings, and prepare reports for the Sun West Area Managers and senior leadership. Oversee daily office operations in Glendale, including vendor management, supply coordination, and employee onboarding. Process expense reports, support invoicing, and maintain CRM databases to drive business development. Lead planning for corporate events and client functions while ensuring strict confidentiality and operational excellence. This role serves as a trusted business partner, requiring sound judgment and proactive planning in a fast-paced environment.
Required Qualifications
- Bachelor's degree in Business Administration, Communications, Management, or a related field
- Minimum of five (5) years of executive-level administrative experience
- High school diploma (or equivalent) with a minimum of ten (10) years of progressively responsible executive administrative experience supporting senior leadership
- Demonstrated experience supporting multiple executives in a fast-paced, professional environment
- Experience managing office operations and business administration
- Experience planning and coordinating executive meetings, company events, client functions, and employee engagement activities
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and Teams)
- Experience with SharePoint, Adobe Acrobat Pro, DocuSign, Smartsheet, Deltek, or similar business applications
- Exceptional written, verbal, and interpersonal communication skills
- Strong organizational, analytical, and problem-solving skills
- Self-motivated, highly organized, detail-oriented, and adaptable
- Capable of working independently while contributing effectively as a collaborative member of a high-performing team
- Demonstrated executive presence
