Job Summary

Provide day-to-day executive support to the CEO and high-level support to the NZ Leadership Team (NZLT) based in Auckland; own office management and facilities coordination to ensure a well-run workplace. Manage NZLT travel logistics (accommodation, itineraries, meals) and corporate travel system support. Serve as first point of contact for Newmarket team members, visitors, and customers, coordinating access, transport, and passes. Oversee office operations, supplies, equipment, vendor relationships, and catering; coordinate meetings, workshops, and staff events; manage access cards, locker allocations, and merchandise inventory. Coordinate communications with professionalism and confidentiality; promote a safe, healthy work environment and contribute to continuous improvement in quality and performance. Requires experience supporting senior leadership in medium to large organisations, with proactive, adaptable, resilient approach, solutions-focused mindset, and ability to stay ahead in fast-paced settings. Demonstrated ability to engage across all levels and manage expectations, building trusted relationships. Flexible structure with options for full-time or 0.8 FTE (Monday to Thursday).

Required Qualifications

  • Minimum 5 years’ experience in a corporate environment providing high-level support to senior leaders (CEO-level experience highly regarded)
  • Advanced administrative skills with strong attention to detail
  • Proficiency across Microsoft Office (Word, PowerPoint, Excel)
  • Experience with systems such as SharePoint and SAP Concur (desirable, not essential)
  • Strong interpersonal and stakeholder management skills
  • Ability to manage competing priorities and work autonomously in a fast-paced environment
  • Confidentiality and discretion at all times
