Job Summary
Executive Assistant / Office Manager for a Construction firm responsible for administrative operations, business development, and marketing support. Core duties include proposal management (analyzing RFPs/RFQs, developing outlines and strategies, coordinating bid submissions, and maintaining project profiles), content creation for bids and collateral, and coordinating marketing efforts (brochures, ads, press releases, website content, email campaigns, and brand consistency). The role also covers office management (supply procurement, IT coordination, contract handling, calendar and travel arrangements, onboarding/training), compliance and quality assurance (bonds, insurance, licenses, certifications, pre-qualifications), and cross-functional collaboration to support senior management. Required qualifications include a Bachelor’s degree in a related field, 70 wpm typing, proficiency with Adobe Creative Suite and MS Office, familiarity with Dreamweaver/Flash/Constant Contact (preferred), excellent communication skills, teamwork and discretion, and the ability to lift up to 20 lbs.
Required Qualifications
- Bachelor’s degree in Construction Management, Business Administration, Communications, Marketing, or a related field
- Minimum typing speed of 70 wpm with high accuracy
- Experience with Adobe Creative Suite (InDesign, Photoshop, Illustrator) and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Proficiency with Dreamweaver, Flash, and Constant Contact is preferred
- Strong written and verbal communication skills in English
- Ability to work collaboratively, solve problems, prioritize tasks, and maintain discretion and confidentiality
- Capable of lifting/carrying up to 20 lbs and engaging in light physical activities
