Job Summary
Manage the EVP Global Delivery's calendar, scheduling internal and external stakeholder meetings across multiple time zones, resolving conflicts, and protecting focus time. Arrange and manage all travel, including flights, hotels, transportation, and visas, while preparing detailed itineraries and processing expense reports. Act as the primary point of contact between the EVP, the Executive Committee, and delivery teams, routing requests and coordinating distributed groups. Prepare materials for Board and Executive Committee meetings, including assembling meeting packs, recording minutes, and tracking action items. Maintain a consolidated tracker of delivery commitments and provide regular status reports on milestones, client deliverables, and escalations.
Required Qualifications
- 5+ years of experience in an executive assistant or senior administrative role reporting directly to upper management
- Demonstrated achievements supporting C-suite and board-level executives
- Exceptional written and verbal communication skills in English
- Ability to maintain strict confidentiality and handle sensitive company and client information with discretion
- Proven experience managing international executive travel, including flights, accommodations, visas, itineraries, travel budgets, and expense administration
- Proficiency in Microsoft Office
- Aptitude for learning new software and systems
- Flexible, proactive team player comfortable in fast-paced, high-growth environments
- Confident working with remote and distributed teams across multiple time zones
Desired Qualifications
- Ideally supporting delivery, operations, or client-facing leadership
- Knowledge of Spanish, Ukrainian, or Russian
- Familiarity with delivery or project environments (e.g., project governance, milestone tracking, client reporting)
