Job Summary

Executive Assistant in Sydney Real Estate Team at MinterEllison (Permanent, full-time). Key responsibilities include file and document management (matter opening/closing, filing, scanning, archiving), high-quality document production in Word/Excel/PowerPoint, formatting and proofreading with accuracy, handling complex billing and client reporting, financial hygiene tasks (debt collections, client monies, reporting), travel arrangements, expense reconciliation, high-level diary/calendar management, meeting coordination, and general administrative duties. Requires advanced MS Word and MS Office skills, excellent prioritisation and organisational abilities, strong communication at all levels, attention to detail, and proactive initiative. Experience with Elite 3E is preferred but not essential; prior experience in a corporate law or real estate team is advantageous.

Required Qualifications

  • Experience as a high-performing secretary or executive assistant
  • Advanced MS Word skills and document creation
  • Strong MS Office proficiency (Excel, PowerPoint)
  • Excellent prioritisation and organisational skills
  • High level of accuracy and attention to detail
  • Clear and confident communication at all levels
  • Ability to manage complex diaries and calendar
  • Experience with client/matter reporting and billing
  • Ability to arrange travel within policy and cost guidelines
  • Proactive, independent, and initiative-driven
  • Adaptable and flexible mindset
  • Experience with Elite 3E (preferred but not essential)
  • Experience supporting a legal or corporate team is advantageous
  • Ability to produce and proofread documents to a high standard
  • Strong administrative and document management skills
  • Experience with general administrative tasks and ad hoc duties
