Job Summary
Manage the CEO office's complex calendar, coordinate domestic and international travel including private aviation logistics, and prepare briefing materials for meetings and events. Maintain a response time SLA of under 15 minutes to the CEOs, handle urgent requests, and act as a gatekeeper by anticipating needs and implementing solutions with minimal direction. Partner with the Lead EA to ensure seamless hand-offs, oversee team tasks and budgets, and process expense reports and purchase orders with accuracy. Support onboarding for new team members and coordinate cross-functional projects while maintaining confidentiality in a fast-paced, global environment.
Required Qualifications
- 10+ years of proven experience as an executive assistant, administrative manager, or similar role supporting senior leadership
- Experience or familiarity with communications and executive affairs
- Ability to maintain confidentiality, exercising discretion and professionalism when handling sensitive information
- Strong organizational skills with exceptional attention to detail
- Highly proficient with Google Suite, MS Office Suite, Adobe Suite, MacOS, and generally tech savvy
- Flexibility in approach — this business operates across all time zones
