Job Summary

Coordinate project executive duties and provide general administrative support to the function lead working on the major Rail project. Manage professional and personal scheduling for Directors, including agendas, emails, phone calls, and client logistics. Screen and prioritize emails, handle enquiries, prepare presentations and reports, and organize meetings and workshops. Liaise with staff from other departments, assist with travel arrangements, and maintain administrative systems. This role requires a minimum of 10 years' experience in executive support, with knowledge of the major Rail project. Full-time employment with competitive remuneration, 8% pension, and 23 days annual leave.

Required Qualifications

  • A minimum 10 years' proven experience as an Executive Assistant or in a comparable high-level support role
  • demonstrating exceptional organisational, communication, and strategic coordination skills
  • Knowledge and awareness of the importance of being a representative for the major Rail project
  • Excellent verbal and written communication skills
  • Attention to detail
  • Skill in preparation and compilation of reports
  • Skill in preparation and compilation of presentations
  • Experience of working in a role where discretion and confidentiality are essential
  • Experience of working with diverse teams
  • Ability to work on own initiative, with multitasking capabilities
  • Ability to work to tight deadlines and prioritise tasks effectively
  • Strong interpersonal skills - ability to motivate others
  • Experience of undertaking and effectively managing a significant workload
  • Advanced Microsoft Office and SharePoint knowledge and experience
