Job Summary

Manage the executive's calendar, scheduling meetings, resolving conflicts, and prioritizing appointments. Coordinate domestic travel, including itineraries, accommodations, and expense reporting, while preparing agendas, presentations, and supporting materials. Draft emails, respond on behalf of the executive, and serve as a liaison between leadership, internal departments, external partners, and vendors. Organize leadership meetings, offsites, and special events, handling logistics and follow-up. Track meeting notes, manage expenses and reimbursements, and maintain organized electronic filing systems. Anticipate executive needs and provide occasional administrative support to the Marketing and Centralized Operations leadership teams.

Required Qualifications

  • 5+ years of executive administrative support experience or a similar administrative role supporting senior leadership
  • Exceptional organizational and time management skills with the ability to manage multiple priorities simultaneously
  • Strong written and verbal communication skills
  • High level of professionalism, discretion, and confidentiality
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Strong attention to detail and problem-solving abilities
  • Ability to work independently while exercising sound judgment

Desired Qualifications

  • Property management or multifamily industry experience preferred but not required
  • Experience supporting C-level or executive leadership
  • Experience coordinating travel, meetings, and executive events
  • Familiarity with project management and collaboration tools
  • Bachelor's degree or equivalent combination of education and experience
