Job Summary
Manage calendars, inboxes, and complex travel logistics for assigned executives, including scheduling, itineraries, and expense reporting. Serve as a trusted liaison by drafting correspondence, presentations, and meeting materials while maintaining confidentiality. Drive meeting effectiveness through agenda preparation, cross-team coordination, and tracking action items. Plan and coordinate company events, leadership retreats, and executive off-sites to support organizational priorities. Maintain confidential files with discretion, track team milestones, and provide backup administrative and front desk support. Partner with leadership to align executive support with strategic initiatives and manage travel vendor relationships.
Required Qualifications
- High School Diploma
- Bachelor's degree
- 3 or more years of experience supporting C-level or senior executives
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Proficient in collaboration tools such as Teams, Zoom, and SharePoint
- Strong organizational, time management, and project coordination skills
- High attention to detail and accuracy
- Excellent written and verbal communication skills
- Ability to represent executives professionally
- Ability to communicate effectively, both verbal and written, to various audiences
- Proven ability to handle confidential and sensitive information
- Ability to creatively solve problems and work under time constraints with minimal supervision
- Ability to work with team members to produce quality work within tight timeframes while managing multiple priorities simultaneously
- Exceptional organizational abilities
- Strong attention to detail
Desired Qualifications
- Bachelor's degree preferred
- Knowledge of additional platforms (Canva, Visio, Prezi)
- Experience in both professional and personal executive support
