Job Summary
Own leadership's time and priorities by running complex calendars across time zones, triaging requests, and acting as a gatekeeper for the Founder's Office. Prepare and brief executives by drafting agendas, assembling materials, capturing actions, and driving follow-ups. Communicate clearly through concise emails and updates while representing the office with polish. Manage travel and logistics end to end, including domestic and international bookings, visas, expenses, and leadership off-sites. Coordinate projects by tracking deliverables, unblocking teams, and pushing initiatives forward without drama. This office-based role (2-3 days per week) in New York requires frequent travel and availability across time zones. You will report to the CEO's Chief of Staff at a fast-growing tech company building the operating system for mobile services.
Required Qualifications
- Owner mindset. Anticipates needs, solves problems independently, and follows through.
- Proven in high-pressure settings. Experience supporting a high net worth individual, a family office, a VC or investment banking leader, or a founder at a fast-scaling startup.
- Elite admin skills. Keeps shifting priorities organized, handles last-minute changes, and sweats the details.
- Judgment and discretion. Trusted with confidential information and steady under pressure.
- Collaborative and independent. Works well with executives and teams, executes with minimal guidance.
- Flexible and mobile. Available across time zones and outside standard hours when required.
- Comfortable with frequent travel and short-notice trips.
- Low ego, high standards. No task is beneath you. You take pride in doing the basics right every time.
- Taste. You notice details others miss.
- Location: New York.
- The role is office-based (2-3 days per week) and travel is expected.
