Job Summary
Manage the executive's calendar, travel arrangements, and budget while prioritizing meetings and rescheduling high-level commitments. Act as the executive liaison to advise on policies, represent interests externally, and handle confidential correspondence with independent judgment. Independently create memos, reports, presentations, and project timelines, ensuring the executive is fully prepared for meetings and presentations. Lead the planning of special events, train lower-level staff, and oversee status of action items and emerging issues for the Assistant Vice Provost. Coordinate with internal departments and external partners to resolve shipment compliance and operational problems, while completing University forms and supporting personnel searches.
Required Qualifications
- Associate's degree in relevant field
- Minimum 5 years of relevant experience providing executive level assistance
- Ability to communicate effectively in both oral and written form
- Excellent writing and editing skills
- General knowledge of office procedures and operations
- Ability to accurately prepare and maintain records, files, reports and correspondence
- Ability to process and handle confidential information with discretion
- Skilled in completing assignments accurately and with attention to detail
- Proficiency in computer software (i.e., Microsoft Office)
- Excellent organizational skills
- Ability to multitask and manage several projects simultaneously
- Ability and willingness to provide excellent customer service at all times
- Ability to communicate effectively and customer-service oriented verbally and in writing
- Ability and willingness to continuous quality improvement and learning
- Ability to maintain effective interpersonal relationships
- Knowledgeable about Project Management Concepts
