Job Summary
Manage day-to-day office operations, overseeing facilities, health and safety, and supplier relationships while handling stock levels. Coordinate complex diary management, international travel, and multi-timezone meetings for the Executive Chairman, CEO, and Founder. Produce detailed itineraries, resolve scheduling conflicts, and prepare documentation including agendas, board papers, and minutes. Act as the primary point of contact for visitors, manage the CEO's inbox, and coordinate corporate events and training. Submit expense reports and provide ad hoc administrative support to department heads as the company scales.
Required Qualifications
- Proven experience managing complex international travel bookings, including flights, accommodation, visas, and detailed itineraries - essential
- Demonstrate previous experience in a similar role within financial or professional services – essential
- Hyper organized; excellent multi-tasking skills in a high-pressure environment - essential
- Working collaboratively, building excellent working relationships with internal and external stakeholders
- Tech savvy; advanced skills in MS Office (Outlook, Word, Excel, PowerPoint)
