Job Summary
Executive Assistant to the CEO in Financial Services. Responsible for managing the CEO’s calendar, travel, and correspondence; preparing reports, presentations, and agendas; coordinating with internal teams, clients, vendors, and external stakeholders; tracking projects and deadlines; assisting with bookkeeping and financial documents; maintaining confidential records; creating and improving SOPs and workflows; handling special projects; acting as the CEO’s right hand in day-to-day operations. Requires 5+ years in senior administrative roles supporting C-level executives, plus strong organizational, written/verbal communication, and proficiency with Google Workspace and Microsoft Office; experience with accounting/software such as QuickBooks, Xero, Canopy, TaxDome is a plus.
Required Qualifications
- 5+ years of experience as an Executive Assistant, Chief of Staff, Operations Coordinator, or similar high-level administrative role
- Previous experience supporting a CEO, Founder, Managing Partner, or C-level executive
- Experience working in an accounting firm, CPA firm, bookkeeping company, financial services firm, or professional services environment is highly preferred
- Exceptional organizational and time management skills
- Strong written and verbal communication skills
- Advanced proficiency with Google Workspace and Microsoft Office
- Experience with accounting and business management software such as QuickBooks, Xero, Karbon, Canopy, TaxDome, or similar platforms is a plus
- Ability to manage multiple priorities with minimal supervision
- High level of discretion, professionalism, and attention to detail
