Job Summary
Executive Assistant to the Executive Office providing strategic alignment execution support, executive calendar and communications management, travel logistics, and coordination for the Executive Team. Responsibilities include preparing briefs and pre-reads for meetings, drafting and tracking communications, maintaining project charters and trackers, document management and presentation formatting, travel arrangements, calendar management, inbox management, preparing executives for meetings with briefs and supporting materials, expense tracking, and acting as a trusted point of contact for Dir BD. The role supports Manager, Strategic Alignment, Dir BD, and the Executive Team, coordinating across ownership, operations, sales, and business development, with a focus on preparation, organization, and follow-through. Requires strong discretion, judgment, proactive ownership, and excellent written and interpersonal skills, with proficiency in Microsoft 365, automation tools, and ability to adapt in a fast-moving, less-structured family-owned environment. Based in Burnaby, BC, primarily in-person with some events and occasional after-hours availability.
Required Qualifications
- Minimum 7 years’ experience as an Executive Assistant or in a senior administrative role supporting senior leadership, principals, or owner-operators in a family-owned, or entrepreneurial environment.
- Experience supporting multiple principals or operating in a distributed executive support model is strongly preferred.
- Post-secondary education in business administration, office administration, or a related field or equivalent demonstrated experience.
- Experience coordinating executive-level events, offsites, or signature company events.
- Experience working with or alongside a committee, project team, or cross-functional group.
- Education in automation, project management, marketing, or graphic design is considered a significant asset.
- Experience in a manufacturing, construction, or trades environment is considered a significant asset.
