Job Summary
Proactively manage the executive calendar, coordinate complex travel itineraries, and lead the planning for internal and external meetings, conferences, and seminars. Arrange comprehensive accommodations, process reimbursement reports, and prepare presentations, agendas, and materials for high-level events. Serve as a communication bridge for senior leaders while handling onboarding, offboarding, and general administrative tasks such as supply ordering and document management. Prioritize deliverables, track project timelines, and draft correspondence with discretion. Requires 5+ years of experience supporting senior leadership, proficiency in Microsoft Office and Concur, and the ability to work independently with occasional travel up to 10% of the time.
Required Qualifications
- 5+ years administrative experience supporting senior leadership
- Bachelor's degree or equivalent experience
- Ability to travel, as needed, up to 10% of the time to be onsite and available to leaders
- Ability to be flexible with their schedule, accommodating additional overtime hours as necessary to meet business demands
- Superior written and verbal communication skills
- Ability to interact with professionals at all levels of the organization while maintaining confidentiality and exercising discretion
- High proficiency with Microsoft Office programs including Outlook, Word, Excel, and PowerPoint
- Advanced knowledge of PowerPoint
- Ability to work independently
Desired Qualifications
- Experience with Microsoft Office tools such as Word, Excel, Outlook, and PowerPoint
- Previous experience maintaining executive's phone, calendar, work, and travel schedules using Microsoft Outlook
- Experience with Concur Travel & Expenses tool
- Strong interpersonal skills, including a professional phone manner and in-person presence
- Ability to work with and maintain confidential information
- Experience taking detailed notes and extracting action items
- Ability to understand priorities and adjust meetings and content appropriately
