Job Summary

Manage the SVP's complex executive calendar, including scheduling meetings, adjusting priorities, and handling travel itineraries. Create and update presentations, capture meeting minutes, and track action items for executive and steering committee meetings. Serve as a delegate for approvals and assist with the annual and new hire training campaigns by administering tools, preparing reports, and managing system testing. Monitor the Compliance inbox, route inquiries, and coordinate team events while maintaining project folders and managing Diligent tool backups. Proactively track high-priority initiatives and follow up on outstanding commitments to ensure critical work remains on schedule.

Required Qualifications

  • Bachelor's degree or equivalent work experience
  • Legally eligible to work in the United States
  • Comfortable balancing executive support (primary responsibility) with Compliance team operational support
  • Strong knowledge and experience of MS Office, particularly PowerPoint, Word, Excel, and MS Teams
  • Comfortable using AI tools such as MS Copilot and able to learn techniques to be more efficient through AI
  • Strong technical skills; easily able to adapt to new tools
  • Excellent attention to detail
  • Strong self-organization and time management skills
  • Proactive mindset; takes initiative to ensure that not only requested tasks are completed, but that team goals are achieved
  • Demonstrated ability to anticipate executive needs, work independently, and exercise sound judgement with minimal direction
  • Articulate, confident, and comfortable interacting with individuals of all levels
  • Ability to prioritize and handle multiple requests simultaneously
  • Builds trust, is appropriately assertive when required and demonstrate initiative and enthusiasm
  • Professional presence with ability to exercise discretion and handle confidential information appropriately

  • Familiarity with the IT industry
  • Excellent English spoken and written communication skills
  • Comfortable communicating with colleagues in different countries where English is not the first spoken language
  • Positive attitude and strong work ethic
  • Team-oriented approach and mindset

Desired Qualifications

  • Knowledge of compliance or regulatory experience a plus but not required
