Job Summary
Executive Assistant to support NAVSEA Front Office in Washington, DC, directly aiding the Program Manager and Deputy Program Manager. Responsibilities include managing calendars and long-range schedules, coordinating internal and external meetings (including video-teleconferencing and conference rooms), coordinating interviews for government hiring, handling travel orders and DTS-related tasks, preparing and distributing read-aheads and official correspondence, managing badges and visitor access, organizing off-site meetings and travel, and ensuring timely execution of communications and logistics with Navy, OSD, and congressional stakeholders. Proficiency with Microsoft Office 365, OneNote, and Navy-specific procedures; active DoD secret clearance required. The role demands high-level professionalism, attention to detail, and the ability to operate under time constraints in a DoD program-office environment.
Required Qualifications
- High School Diploma or GED
- 7+ years of administrative experience as an executive assistant supporting DoN/DoD/DoW senior leadership in a Program Office and/or at the Pentagon
- Experience managing DoN/DoD/DoW senior military and program leaderships' calendars, meetings, and travel
- Experience managing and scheduling meetings to include reserving and setting up VTCs, GVS, and conference rooms
- Experience working and coordinating with high-level cross-functional teams
- Experience identifying barriers and developing solutions that streamline processes and improve program performance to include initiating and updating SOPs
- Experience supporting executive leadership meetings
- Experience preparing correspondence for senior officials review/signature in accordance with the Navy Correspondence Manual requirements
- Exceptional written and verbal communication skills
- Experience with CAC resets and getting visit badges/CACs coded
- Experience managing visit requests for various commands as well as visitor parking
- Experience organizing and scheduling on and off-site meetings for senior leadership
- Experience obtaining parking and visitor access, arranging executive motor pools, and leading weekly schedule and travel syncs
- Experience using DoN Defense Travel Systems (DTS)
- Familiarity with DoN Records Management (RM) requirements
- Active DoD Secret Clearance
