Job Summary
Provide advanced administrative support to the Executive Vice President, managing detailed calendar, travel, and expense logistics while facilitating communication with the Western States Region Board of Directors. Coordinate recurring and ad-hoc strategic planning meetings, develop agendas and talking points, and ensure follow-up on deliverables. Cultivate relationships with key donors, volunteers, and stakeholders, preparing meeting materials, dashboards, and presentations that present financial updates and program outcomes. Maintain the highest standards of integrity, confidentiality, and professionalism while managing multiple priorities in a high-visibility environment. This remote role reports to the Region Senior Director, EVP Operations, with flexibility to be based within Western States and convenient access to travel.
Required Qualifications
- Minimum of three (3) years of experience in a role that includes: Experience supporting C-suite executive leaders
- Demonstrated accuracy, organization, resourcefulness, and strong planning skills
- Experience in internal and external communications and partnership development
- Proven ability to manage competing priorities in a fast-paced, highly dynamic environment
- Experience and interest in direct outreach to establish new relationships and steward existing ones
- Strong proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
Desired Qualifications
- Bachelor's degree in Business Administration, Communications, or a related field
- Experience working with volunteer leaders, including engagement, cultivation, and recognition
- Experience in donor stewardship and/or fundraising
- Knowledge of the American Heart Association's mission, priorities, and programs
