Executive Assistant / Accounting Specialist

Job Summary
Prepare the Diocesan Finance Council packet weekly, transcribe meeting minutes for various committees, and coordinate projects including retired priest housing allowances and Mass Fund letters. Schedule appointments, arrange special events, and manage full mail services including sorting, distributing, and logging incoming checks. Process daily Accounts Payable invoices, handle Accounts Receivable payments via Financial Edge, and reconcile monthly accounts receivable accounts. Assist with budget questions, process journal entries, and coordinate with the Real Estate Office for the A-9 process. This role supports the Finance Officer and Controller within the Diocesan Administration Building in Manchester, New Hampshire, reporting to the Cabinet Secretary for Temporalities. The position requires approximately 15 hours per week with executive assistant duties and 25 hours providing accounting support.
Required Qualifications
- College Graduate
- 2+ years as an executive assistant in a Finance Department
- 2+ years as an administrative assistant in secretarial field
- basic accounting knowledge
- Proficient in the use of personal computers including word processing, spreadsheets, database and internet programs including virtual meeting programs, Teams, experience with mail merges, taking minutes, and transcribing for various boards
- Excel skills
- Ability to communicate well in both spoken and written English
- Ability to interact with clergy, religious, laity, both within the Diocesan Administration and outside (parishes, schools, other institutions, and general public) in a knowledgeable and tactful manner
- Work at a desk during the majority of the workday with some need to stand and/or walk
- Lift or carry objects weighing up to approximately 20 pounds
- Frequently operate controls with hand manipulation
