Job Summary
Executive Assistant-Academic Affairs provides high-level administrative support to Senior Management and executives within the Office of Finance and Business Operations. The role collaborates with other department members to address organizational needs, communicates with high-level management, and manages a range of duties including reviewing correspondence, preparing reports and presentations, supervising clerical staff, and coordinating agendas, food service, room scheduling, and materials. Requires a degree (Associate or Bachelor) with four years of administrative support experience and proficiency with graphical software, spreadsheets, and presentation software. Offers the opportunity to work with senior leaders on special projects and to contribute to efficient office operations in a university medical center setting.
Required Qualifications
- Degree (Associate or Bachelor) with four (4) years of administrative support experience.
- To provide high-level administrative support for Senior Management, Assistant Vice Chancellors, Associate Vice Chancellors and Executives.
- Reads and analyzes incoming correspondence and reports to determine their significance and plan their distribution.
- Responds to incoming correspondence.
- Compiles and analyzes various types of complex information for inclusion in reports and/or presentations using graphical software, spreadsheets, and/or presentation software.
- Answers telephones and resolves complex caller needs within broadly-defined guidelines and without managerial oversight.
- Supervises departmental clerical staff and ensures completion of assigned tasks.
- Works directly with senior management on special projects.
- Prepares agendas and make arrangements to include food service, room scheduling and materials preparation.
