Executive Administrative Assistant

Job Summary
Manage complex schedules, coordinate high-level meetings including Board of Directors and shareholder gatherings, and handle confidential corporate records with discretion. Provide executive administrative support by planning travel, preparing agendas and board materials, and facilitating Manager Business Meetings with virtual connectivity. Serve as a liaison between executives, board members, and external partners while supporting financial processes like expense reporting and credit card reconciliation. Prepare and proofread communications, presentations, and organizational materials to ensure accuracy and professionalism. Maintain office supplies and executive resources while occasionally traveling to support meetings and events. Collaborate closely with senior leaders, including the CEO and President, in a professional environment with high visibility across the organization.
Required Qualifications
- Experience supporting senior executives, leadership teams, or boards of directors
- Strong calendar management, meeting coordination, and travel planning skills
- Excellent written and verbal communication, including proofreading and professional correspondence
- High attention to detail with the ability to manage confidential and time-sensitive information
- Strong organizational skills with the ability to manage multiple priorities
- Occasional travel may be required to support meetings or events
